Booth Requirements

Each brewery will be responsible for bringing their own tent and equipment. Breweries are encouraged to bring any POS and give-a-ways available. All beer vendors will be on grass. Canopies must be weighted down or secured with 9” stakes.

Set Up

Set Up: Friday 12 pm – 6 pm. All Breweries must be in place on Friday at their designated arrival times or Saturday morning by 10am. Show Hours: Saturday 12:00 P.M. - 6:00 P.M. Vendor breakdown prior to 6 pm on Saturday is prohibited.

Parking

Vendor parking is available across the street at the Fairgrounds on Friday and Saturday. Mis-parked vehicles will be subject to ticketing or towing at owner’s expense. Observe traffic signs. The perimeter of the event site will be fenced with limited access.

Admission Passes

Brewers will have event admission passes/wristbands for staff.

The Hill Country Council for the Arts, Boerne BierFest, The City of Boerne, The AgriCultural Museum & Arts Center, event affiliates, sponsors, employees, volunteers and contractors assume no liability for event attendance, vendor merchandise or equipment that is lost, stolen or damaged, or for injury or bodily harm. Vendor agrees to indemnify and hold harmless the above-named parties and assume all liability for any damages, injuries, claims, or suits by all persons or third parties arising from claims against vendor actions, personal property, or items sold or prepared for consumption. Upon receipt of completed application, your booth reservation will be confirmed.

Application:

No commercial side products allowed. Artists must be 18 years of age or older.

Staff Support:

Staff will be present on site throughout the entire Art Waddle schedule of events on Saturday. Contact information will be posted.

Set-up:

Artists can set up Friday with advance approval of the Art Director, President, Paula Horner. Saturday set up will begin at 7am – 9am, Boerne Art Waddle opens promptly at 10am. Vehicles must be moved from loading area by 10am. Tear down begins at 5 pm on Saturday and Sunday. Absolutely no early staging of cars and trailers will be allowed due to business operations.

Artist’s Equipment:

We suggest all Artists have a canopy since areas may not be fully shaded, along with the necessary tables and chairs for their booths. Artists are responsible for bringing any equipment necessary to display their art along with appropriate tie downs or weights (25lbs per leg suggested). Tents and tables can be rented for a fee.

Port-a-Pots:

Facilities will be located on the event footprint in addition to the Boerne fixed public bathroom locations.

Pets:

This is a pet-friendly event at outdoor locations, and owners are expected to pick up after their pets. Excessive barking is discouraged and may result in your being asked to remove your pet.

Security:

Police will be available if required for an emergency on Saturday. No security is being provided on Friday night. If you wish to setup your tents, tables, and chairs we cannot be responsible for them. Boerne Art Waddle and affiliates, merchants, the Hill Country Council for the Arts, and the City of Boerne accept no liability for any reason monetarily or otherwise for Artists' equipment, artworks – original or reproduced, vehicles, etc. By signing this application, the Artist named below holds harmless all organizations and individuals affiliated with the Boerne Art Waddle for any reason. You also agree to allow the event the use of any pictures of artwork or individuals for use in promotional material media relative to the event. Cancellations: Show fees are non-refundable. Waiver

The undersigned contestant releases and holds harmless the Boerne BierFest committee and its sponsors, participants, partners and volunteers; including but not limited to Hill Country Council for the Arts, Majestic Ranch Arts Foundation, The AgriCultural Museum and Arts Museum Center, as well Salvador Dobbs, its owners, representatives, and staff. The undersigned further releases any photographers, photographs and/or videos submitted for publicizing the event. The undersigned further agrees that failure to abide by the rules stated in the registration application can lead to expulsion from the contest without reimbursement or legal recourse whatsoever, and to abide by the decision of the judges.

* For $10 paid, receive a 34-ounce PRACTICE SA 28 Songs LOGO STEIN to be picked up at HCCArts booth. YOU MUST COMPETE TO PURCHASE THE STEIN FOR $10.

Trailers and Food Trucks include a side picture of your unit

Set Up: Friday 12pm – 7pm and Saturday 7am-9am. Show Hours: Saturday 12 pm-6 pm. Vendors will have event vehicle admission passes for load in. Wristbands will be required for staff to be picked up at the Volunteer entrance. All vendors must be loaded in no later than Saturday by 9am. Gates for set up will open at times listed above. (Exceptions only by advance approval.) Arrival times are critical as food vendors will be located WITHIN the event-controlled security fencing area.

Food vendors that do not have a Kendall County annual permit are required to have 3-day temporary food vending permit ($25). (We will register and pick up permits for you.) Food Vendors must submit a signed copy of Kendall County Temporary Food Establishment Compliance form (located on website) and State Food Handlers permit with their application. All applications with fees are due no later than September 1st or $25.00 late fee will apply. A copy of the vendor proof of liability insurance should be included.

Artists will be judged on the entire body of work exhibited, Saturday morning. Best in Show, 1st in Fine Arts and 1st in Applied Arts, 2nd, 3rd and two Honorable Mention ribbons will be awarded. The Best in Show recipient will be given the opportunity to have their artwork featured on next year's Boerne BierFest limited edition art poster.

Artists will be given badges with lanyards for participant identification and entry into the Artists’ areas.
